ASSISTANT IN THE GROUP TOP MANAGEMENT OFFICE

​For our Group Top Management Office in Lugano we are looking for an:

Assistant in the Group Top Management Office (Temporary)

Responsibilities include:

  • Provide secretarial and administrative support to the Group Top Management Office
  • Support the back office activity and take care of ensuring services and material required for the proper functioning, such as providers contracts, invoice processing, and material ordering and replenishment
  • Type and/or draft memoranda, correspondence, and other documents and report often of a highly sensitive and confidential nature
  • Coordinate work with other assistants to ensure a high performance, customer service-oriented work environment
  • Schedule prepare agenda and meeting materials for various meetings, organize travels and logistics to ensure a smooth organization and in coordination with the Company planning
  • Operate in coordination with other Helsinn departments and their assistants to supports according need the Group Top Management Office planning activity
  • Research and assemble information from a variety of sources for the preparation of reports, presentations and correspondence as required
  • Perform other duties as assigned

The successful candidate has the following qualifications:

  • Minimum 3 years of increasingly responsible office administrative or secretarial experience
  • Experience in a business or government setting is highly desirable
  • High school diploma or commercial school certificate
  • Office administrative, planning, management practices and procedures
  • Good command of spoken and written English and Italian is essential, other languages are a plus
  • Standard Office word processing, spreadsheet, graphics, communication tools and other IT packages
  • Economic understanding and basic of accounting, record keeping, filing and purchasing practices and procedures
  • Exemplary planning and time management skills
  • Ability to set priorities and exercise sound judgment, in accordance with laws, regulations and policies
  • Listening and communication skills
